by | Jan 25, 2023

With the rise of technology, we can now find Virtual Assistants in many different forms, including software, apps, and even physical devices. However, with so many options, knowing what hardware is necessary to set up a virtual assistant can take time and effort. That’s why we’ve created a Virtual Assistant Equipment Checklist to help you get started.

This checklist will cover all the essential hardware needed to set up a virtual assistant using software, an app, or a physical device. From the basic hardware and software requirements to the accessories that will make your VA more efficient and effective, this checklist will provide you with all the information you need to get started.

With the help of this Virtual Assistant Equipment checklist, you’ll be able to quickly identify the necessary tools and hardware to set up your virtual Assistant and ensure that it is working at its best.

Whether you’re a small business owner or an individual looking to streamline your tasks, this checklist will provide you with the resources you need to make the most of your virtual Assistant.

Virtual Assistant Equipment Checklist

Virtual Assistant equipment will need to have the following items:

  • Laptop with good specifications.
  • Noise-cancelling Headset.
  • Stable internet connection.
  • Backup generators or extra battery for laptop and phone.
  • Workstation setup.
  • (optional) a local phone plan that can contact your number.

Why Do We Need Those Virtual Assistant Hardware?

We have mentioned what kind of hardware you should prepare for your Virtual Assistant. Here, we’ll explain why it’s a big red flag not having them.

Laptop

Everyone nowadays has a laptop, but is it suitable for the tasks that you will give to your VA?

Most likely, the VA is in countries like the Philippines, Indonesia, Vietnam, etc. And their laptop may be a basic laptop that can only open Microsoft Office suites and a web browser.

Suppose you require them to do heavy-lifting things like editing images, rendering audio and video files, etc. In that case, you may need to invest in a better-specification laptop for them to use.

At VA For Everyone, we supply all our VA with suitable specification laptops based on the requirements of our clients. It ensures that the services are uninterrupted and the tasks are not delayed.

Noise-cancelling Headset

Another essential item in the Virtual Assistant equipment checklist is noise-cancelling headsets.

The Virtual Assistant needs a noise-cancelling headset to communicate effectively with you, especially if you delegate your VA to telemarketing services, like following up with the clients. It will remove the noise from the conversation and help your VA and the client understand each other better.

Moreover, most VA will work from home if you employ them directly. They may have kids in the background or pets making sounds when you are in a conversation. A noise-cancelling headset will sure be of help in this case.

The noise-cancelling headset can be cost-effective since the price has decreased significantly in the past few years.

Stable Internet Connection

Imagine this; you have a bunch of tasks to give to the VA in the morning, and… oops! The VA’s internet is dropped today due to some storms in the area.

It is a prevalent issue in the South-East Asian region. We recommend having a pocket wifi device on which you can install a data-only sim card as a backup. When the internet goes down, your staff can use this to continue working with you.

As a Virtual Assistant provider, we have industrial-grade internet at our office, which has the assurance from the provider never to go down. And if it went down, our people could go home and continue working from there. The outage typically affects only one area at a time.

Backup Power Supply

Like the internet, electricity often goes down without any notice. We recommend the VA have a backup power supply ready to be used when that happens. Another note is when the power goes down, the internet will also be down. As a result, please double-check with the VA whether they have the pocket wifi device and a backup power source available.

We have a backup generator that can power the office for a day should the outage happen.

Workstation Setup

Working as a Virtual Assistant can be stressful sometimes, especially if they need to do repetitive tasks for a long time. Therefore, a comfortable and well-organized workstation is required to keep performance high.

A good workstation includes a sturdy desk, an ergonomic chair, an external monitor, a mouse and keyboard, and a cabinet. You can ask your VA to take a picture of their workstation and send it to you to ensure they work in a good environment.

Local Phone Plan

It’s an optional item, as after all the above things are available, it will be an exceptional situation if the Virtual Assistant cannot reach you by internet. In this case, the mobile network should still be public, and they should be able to send you an SMS or call you to notify you about the situation.

The goal for this item is to keep you in the know if anything happens to the VA and have a proactive measure if needed.
